Position Summary:
- The Saint Louis Zoo is looking for a positive and experienced professional to join the Animal Care Department as an Administrative Assistant.
- This position helps to support the Vice President of Animal Care and manage essential needs for the Animal Care Department.
Responsibilities:
- The well-being and care of our staff and animals is our highest priority at the Saint Louis Zoo.
- The Administrative Assistant will provide overall administrative support to the Saint Louis Zoo’s Vice President of Animal Care.
- In addition, this person will provide supplemental administrative support to the additional Animal Care Leadership on an as needed basis.
Responsibilities include:
- Serve as one of the key liaisons, coordinating effective communication between the Animal Care Department and the Department’s various key stakeholders (i.e. AC staff, board members, other departments, etc)
- Managing schedule requests for the VP of Animal Care and Animal Care Department needs
- Manage all aspects of the Vice President’s travel schedule, including international trips and tours
- Must be able to manage confidential and sensitive information
- Complete purchase orders, work orders, expense reports, and document signature requests
- Organize and prepare presentation material for some meetings
- Take and transcribe minutes for meetings and share as needed
- Handle incoming calls and correspondence needs
- Manage Animal Care credit cards and credit card reservations
- Coordinate pest management for the Zoo
- Schedule recurring Animal Care meetings, and manage set up and communication
- Responsible for inspecting safety equipment for Animal Care Administration area and vehicles
- Order/stock office supplies for Animal Care Administration office
- Manage Animal Care use and maintenance of Animal Care designated vehicles
- Receive and coordinate Animal related inquiries from Guest Relations/guests
- Administrator for Animal Care Sharepoint page, responsible for updating staff list, Animal Care Phone List, calendars, etc. and updating staffing schedule on in/out calendar
- Assist Animal Care to prepare for AZA Accreditation needs
- Assist VP of Animal Care with Animal Care budget management
- Other duties and responsibilities as assigned.
Qualifications:
- High School Diploma or equivalent required. College degree preferred.
- Strong demonstration of customer service and administrative skills required. Must have the necessary interpersonal skills to serve as an excellent ambassador for the Vice President’s Office and for the Animal Care Department.
- Demonstrate computer proficiency and typing skills. Experience Microsoft (PPT, Excel, Word, etc.) required.
- Communicate effectively with supervisory staff, co-workers and other departments, both written and orally.
- Candidates must have the physical ability to perform required duties as assigned, including: standing, sitting and walking for periods of time, or bending, squatting, lifting at times
- Must have the ability to follow safety protocols, demonstrate focus, follow written verbal instructions
- Provide positive guest experience for visitors and staff and effectively promote organization
- Manage stress to perform the job effectively, remember details, manage time effectively, apply critical thinking techniques, analyze, and solve problems
- Ability to handle multiple projects in a fast-paced environment
- Accuracy, attention to detail, and the ability to handle confidential information are a must
- Must treat all members of the Zoo Community with world-class customer service skills
Addition Job Details:
- The hours for this position are Monday-Friday, 8am-5pm. However, some evening or weekends may be needed on a few occasions
